How AVOXI Retains (Stores) Your Documents

Your privacy matters to us, and we know that trust is earned by being clear about what happens to your data — not just while you're using AVOXI, but afterward too. This article explains how long we keep the information tied to your account, why we keep it, and what choices you have.

The Short Version

  • We only keep data for as long as we have a genuine business or legal reason to.
  • Regulatory documents you submit when purchasing a virtual number (like proof of ID or business registration) are held for 12 months after they're submitted to the carrier, because telecom regulators require it — not because we want to hold onto more than necessary.
  • If you'd like those documents purged after the 12 months, you can request it, and our team will review and action that request.

Why Regulatory Documents Are Retained for 12 Months

When you purchase certain virtual numbers, local telecom regulators require AVOXI to collect supporting documentation — things like a government-issued ID, proof of address, or business registration — before the number can be activated. This is standard across the telecom industry and applies to most providers, not just AVOXI.

 

Once that documentation is submitted to the end carrier or regulator on your behalf, we're legally required to retain a copy for 12 months from the date of submission. This isn't a setting we can toggle off, and it isn't unique to AVOXI — it reflects telecom compliance obligations (such as Know Your Customer, or "KYC," rules) that exist to prevent fraud, number misuse, and unauthorized use of telephone numbers.

 

In practical terms, this means:

 

  • Documents you upload during number ordering are not automatically deleted the moment your order is complete or your number is activated.
  • They remain on file, securely stored, even if you later cancel the number or close your account.
  • After the 12-month period, the requirement no longer applies, and the documents are no longer needed for regulatory purposes.

 

We know handing over documents like a passport or business license can feel like a big ask, and we don't take that lightly. These records are stored in Google Cloud Storage, protected with encryption both in transit and at rest, and access is limited to the teams responsible for regulatory compliance and order processing.

Can I Have My Documents Deleted?

Yes. While we can't bypass the 12-month regulatory retention requirement, you can request purging of your submitted documents once your specific circumstances no longer require them.

 

To request this, contact our support team at support@avoxi.com with:

 

  1. Your account or customer ID
  2. The phone number(s) or order(s) the documents relate to
  3. A brief note confirming you'd like the associated documents purged

Our team will review the request and confirm what can be removed and when, based on the regulatory status of the number(s) in question.

What About Other Types of Data?

This article focuses specifically on regulatory documents submitted during number purchases. AVOXI also retains other categories of data — such as call recordings, billing records, and general account information — but each of these follows its own retention logic:

 

  • Call recordings are retained according to the retention period you configure (30, 60, 90, or 365 days, or unlimited), and are deleted automatically once that period expires.
  • Billing and account records are kept for as long as required for tax, accounting, and contractual purposes.
  • Personal data generally is retained only as long as needed to fulfill the purpose it was collected for, or as required by law — after which it's deleted in line with our Terms & Conditions and applicable privacy regulations.
