1. The Documentation Lifecycle

When you order a regulated phone number, the submission of documentation triggers a standardized compliance workflow designed for both speed and security.

I. Digital Submission & The Document Library

Documents are uploaded directly through the AVOXI Online Portal. To minimize administrative burden, AVOXI utilizes a Document Reuse Library:

 
  • Automatic Archiving: Once a document (e.g., a Business Registration or Proof of Address) is uploaded for one order, it is securely stored in your library. (reference guide).
  • Intelligent Mapping: For future orders in the same region or with the same requirements, you can select existing documents from your library rather than re-uploading them. (reference guide)

 

II. Verification & Review

Once "Submitted," our internal compliance experts review the files against local carrier and government requirements. (reference guide).

 
  • Status Tracking: You can monitor if a document is Pending, Approved, or Rejected. (status guide)
  • Direct Feedback: If a document is rejected (e.g., it is blurred or expired), the specific reason is appended to the record in your portal for immediate correction.

  • Active Clients: As long as a number is active, AVOXI must maintain the associated documentation to prove local presence or identity upon request by local authorities.
  • Post-Cancellation Retention: When a number is canceled, AVOXI retains the associated regulatory documents for one year.
  • Legal Necessity: This one-year period is mandatory. It allows AVOXI to respond to legal or regulatory subpoenas and "Traceback" requests regarding historic traffic, protecting both AVOXI and our customers from legal liability.
